The Bill Inbox feature makes it easier to receive and manage invoices from your suppliers, creditors, or partners. By sharing a dedicated email address provided by us, you can streamline the invoice process with minimal effort.
When your suppliers send invoices as attachments to this email, our system automatically uploads them to your business account, including relevant payment details, ready for review in the Bill Inbox section.

How does it work?
You can follow the steps below in both the web interface and the mobile app.
From the home page, access the Payments section
Share your dedicated email address:
Format: {your business account name}@ap.vivid.money Note: This email is separate from the one used to log in to your business account.
Receive invoices:
The dedicated email address should at least be in CC.
Invoices should be attached to the email as files that meet the criteria below
Multiple invoices can be sent in one email
Automatic processing:
Our system will automatically recognise and upload invoices to the respective section, categorising them into:Bill Inbox: Invoices that still await review.
Pending approvals: Invoices reviewed by team mates, but pending approval by an Owner or Admin.
Paid this month: Invoices processed or paid during the current month.
Review and pay:
Payment details, including recipient information, amount, and source account, are pre-filled but can be edited.
If you are an Owner, Admin or Assistant, you can review invoices and initiate payments. However, if you are an Assistant, payments need approval from an Admin or Owner. Employees can only send invoices to the Bill Inbox.
Invoice processing criteria
Invoices sent to the dedicated email must meet the following criteria:
File types: PDF, PNG, JPEG, JPG, HEIF, .XML
File size: Less than 10 MB
