A custom role is a role your company creates for its own team, with a specific combination of permissions and account access that you choose. For example, you could create a "Treasury" role that can only see and move money between your treasury accounts, or a "Travel" role that can only issue and manage cards for travel spend.
Custom roles sit alongside Vivid's standard roles — they don't replace them. Your Owner and Administrator roles, and the way they're defined in our General Terms and Conditions, stay exactly the same. Custom roles only refine what an already-authorised team member can do inside your own organisation.

Who can create and manage custom roles?
The Owner and Admin role, can create, edit and delete custom roles, and assign them to team members.
What can I control with a custom role?
When you build a custom role, you choose the level of access for each of the following:
Accounts — which of your company's Vivid Accounts (including Treasury/interest-bearing accounts) the role holder can see and use.
Transfers — whether the role holder can initiate and/or approve external transfers (SEPA and international/SWIFT) and internal transfers between accounts they have access to, and whether they can manage your recipient list.
Cards — whether the role holder can issue a card for themselves only, or also view, issue, block and remove Vivid Cards for other team members.
How does account access work for a custom role?
For each of your Vivid Accounts, a custom role is set to one of two levels:
Access — the role holder can see the account, its balance, transaction activity, download statements, and can carry out any operation you customize their role to do (for example, transfers).
No access — the account is completely hidden from the role holder. It won't appear in any account list, search, statement, picker or notification they see, on the app or web.
How can I create customer roles?
Go to the Team Section
In the Vivid Money app, select the three lines at the top right and scroll down to Other Services and select Your team.
In the Web-interface you will see the Team tab on the left hand side.
Give the role a name and description and choose an icon you wish to have for that role.
There are 4 sections you must specify access for
Accounts
Transfers
Cards
Asset Management
After selecting these, click Create role
Once created, you can see all the details of all roles under the Roles tab
You can click on the role to edit or delete
Click on a team member to assign them that role.You can also assign this role to a team member while you are inviting them to the Vivid Business account.
Can I assign the same custom role to more than one person?
Yes. A single custom role can be assigned to as many team members as you like. Each team member holds one role at a time.
What happens if I delete a role that's still assigned to someone?
You can't. A custom role can only be deleted once no team members are assigned to it — you'll need to move any affected team members to another role first.
Are there any naming rules for custom roles?
Yes. Each custom role's name must be unique within your company, and it can't match the name of one of Vivid's standard roles (Owner, Admin, Assistant, Employee).
Can I edit or delete Vivid's standard roles?
No. Owner, Admin, Assistant and Employee are fixed roles and can't be renamed, edited or deleted. Custom roles are an addition on top of these, not a replacement for them.
What happens to my custom roles if I downgrade my tariff?
If you've created custom roles and later move to a lower tariff, your custom roles keep working as normal so your day-to-day operations aren't disrupted. However, you'll be charged a fixed monthly fee for each custom role that's still in use, regardless of how many team members are assigned to it. For example, if you've created a "Travel Manager" role and assigned it to 3 team members, you'll pay one monthly fee for that role not three . Before you confirm the downgrade, we'll show you the expected charge, so you can decide with all the information — for example, by reassigning some team members to a standard role first. Who is responsible for what a team member with a custom role does?
You are. Custom roles are a tool for managing access within your own company — your company remains fully responsible for the actions of everyone you authorise on your account, including team members assigned to a custom role, exactly as it already does for team members on our standard roles.
Is anything changing for businesses that don't use custom roles?
No. If you don't set up custom roles, nothing changes — your team keeps using the standard Owner, Admin, Assistant and Employee roles as before.
