A Budget lets you set aside company money for a specific purpose — a team, a project, or a one-off event — and control exactly how it can be spent and by whom, without giving anyone direct access to your company's accounts or balances. A Budget isn't a separate account: it's a spending rule that sits on top of one of your existing accounts.

Who can create and manage a Budget?
Only the Owner and Admins can create, edit or delete a Budget. Every Budget also has one Budget Manager — the team member responsible for it day to day. The Manager can hold any role, including Employee, and doesn't have to be the person who created the Budget.
What can a Budget Manager do that I (as Owner or Admin) can't?
Nothing extra — it's the other way around. A Manager can only see and manage the Budget(s) they're responsible for, not your whole company's Budgets, and can't change the spending limit, hand the Manager role to someone else, or delete the Budget.
How much can I set as a budget's limit?
You choose an amount and how often it resets — for example, €14,000 every month. The limit resets automatically at the start of each new period.
What does the "Total" frequency option mean?
Choosing Total instead of a recurring frequency turns the limit into a fixed pot rather than a refreshing allowance: it applies from the moment you set it and stays fixed — counting down as it's spent — until you reset it yourself. It's the better choice for a one-off Budget, like a specific project or event, where you want spending to stop once the amount is used up rather than refresh at the start of a new period.
How do I create a Budget?
On the web-interface, go to Finance tools in the left-hand menu and select Budgets. On the app, look for Budgets under your finance tools/other services menu. You'll see a list of your existing Budgets, each showing its current spend, remaining limit, and manager.
From the Budgets list, select Add a budget.
Give it a name (for example, "Marketing" or "Company Anniversary 2026"). You can pick a suggested category — Marketing, Travel, Software, Office Supplies, Team Events — or type your own, and choose an icon to help you tell your Budgets apart at a glance.
Under Participants, add the team members who'll be spending from this Budget.
Choose a Budget manager from those participants — the person responsible for approving what happens inside the Budget day to day.
Confirm the funding account the Budget will draw from (this defaults to your Main account, but you can pick a different one).
Set the spending limit: enter an amount and choose how often it resets — Monthly, Weekly, Daily, or Total (a one-off amount you top up manually rather than one that resets automatically).
Select Create budget. Your new Budget appears in the list straight away, ready to have cards issued against it.
How many Budgets can I set up?
Up to 10 Budgets per account.
Which account does a Budget spend from?
Each Budget draws from exactly one of your accounts (for example your Main account). The Budget doesn't hold its own balance — it just tracks and limits how much can be spent from that account for its specific purpose.
If a Budget shows money "remaining," does that mean my account has that much available?
Not necessarily. A Budget's remaining limit is just "limit minus what's already been spent this period" — it doesn't look at your account balance. Your account balance is still checked separately, at the moment a payment is made, so a payment can still be declined if your account doesn't have enough available funds, even if the Budget shows plenty remaining — and the other way around, a Budget can be maxed out even while your account is flush. They're two independent checks.
Can I restrict where a Budget's money is spent?
Yes. You can set which merchants are allowed and which payment types are enabled (for example contactless, online, or ATM) for a Budget. A card issued inside that Budget can never be more permissive than the Budget itself.
Who can issue a card inside a Budget?
If your own role already lets you issue cards, you can issue your own card inside a Budget you're part of. If it doesn't (this is typical for the Employee role), the Budget Manager issues the card for you. The Manager can always issue cards inside their own Budget, whatever their company-wide role.
Can several people share one card in a Budget?
Yes — you can issue a shared card to more than one person, but only as a Virtual card (Plastic and Metal aren't available for shared cards). Shared cards are always labelled "(Corporate)" so they're easy to tell apart from personal cards.
Can a card move to a different Budget later?
No. A card stays permanently linked to the Budget it was issued in. If spending needs to move to a different Budget, a new card has to be issued there, and the old one frozen or closed.
What happens if I remove someone from a Budget who already has a card?
You'll see a summary of the impact before you confirm. Once you save the change, their personal card is closed, and any shared-card access they had is either removed or passed to the Budget Manager. If you add them back before saving, none of this happens.
Can I remove the Budget Manager from their own Budget?
Not directly — the Manager is always counted as a participant, so you'll need to assign a new Manager first before removing the current one.
Can I delete a Budget?
Yes, but only the Owner or an Admin can do it. You'll see a summary of what will be affected first, and the action can't be undone — though the Budget's past transactions stay visible in your transaction history.
What happens to my Budgets if I downgrade my tariff?
If you move to a tariff that doesn't support Budgets, you'll be notified in advance that your Budget(s) — and any cards linked to them — will be deleted on the day the tariff change takes effect.
